Many people work extra hours nights and weekends but still don’t hit the target. That is why we should always work smarter and make the most of our time.
Time management is not rocket science and anyone can learn it. If you aren’t as productive as you would like, you should make changes to your workdays. In this article, I would like to give you some recommendations on how you can increase your productivity at work.
What is work efficiency?
Being efficient means that you are able to get the most output from the least possible input. It means you can get done more in the same amount of time. An efficient employee doesn’t waste time and effort, he works smart.
The most common misconceptions about work efficiency
Busy means productive
People often think that they can be productive only if they are always doing something. However, being constantly busy is not the way to become more efficient. You can truly improve your productivity by achieving goals with less time and effort.
Multitasking is a must
The truth is that multitasking is not useful at all. You are trying to do everything at once but can’t do anything properly. Multitasking drains your energy and you may miss many important things. To be efficient, you should fully focus on only one task at a time.
You can’t be productive working from home
Because of the pandemic, many companies sent their employees to work remotely from home. Some studies show that productivity of people working from home increased significantly. The most important thing here is to create the right atmosphere where nothing can distract you or decrease your productivity.
How to become more efficient at work
Know your productivity peaks
First, focus on yourself in the morning. Get a nice breakfast, read the news, meditate or do yoga. This way you will get the necessary fuel for the rest of your day. If you are a morning person, complete the most challenging and creatively demanding tasks in the morning. If you are a night owl, start with some routine tasks. It is very important to know your personal peak productivity time and take advantage of it.
Learn to say “No”
Sometimes people take on too many tasks while some of them could be easily delegated to others. It happens when one wants to prove that he is capable of multitasking or just can’t refuse to help. However, we all should learn how to say no if there is already a lot to do. If you can delegate some tasks, do so. This way you can free up your time for something really important and consequently improve your efficiency at work.
Prepare a to-do list every evening
To-do lists make you more productive and organized. They help you focus and keep track of all your accomplishments. When you check off tasks, you feel satisfied. If you prepare a to-do list in the evening, you will have a plan for the next day and won’t forget anything.
If you feel like you are stuck or overwhelmed by the amount of work and don’t know where to begin, just take a break. Worrying too much blocks your energy and you end up doing nothing. Listen to music, do yoga or go for a walk. After a break, you will come back to work with a clear mind and ready to look at your task from another perspective. Have several breaks during the day, let yourself relax and regroup.
To be more productive, identify and eliminate all the distractions. Shut down the noise, turn off your email and phone notifications. If you can’t spend the whole day without social media, have small breaks to check notifications and get back to work. Dedicate your energy to the things that matter.
Let go of perfectionism
Perfection is unachievable. It is an illusion that often causes stress and makes people doubt themselves. Understanding that you can never do anything perfectly will help you do your job without unrealistic expectations. Also, don’t be afraid to fail, otherwise, you will procrastinate too much and put off things. To let go of perfectionism, alter your self-talk and be kind to yourself. If you fail, see it as an experience and learn from it.
Improve your environment
A good working environment is necessary for productivity. First, check your workplace and make sure you have everything you need to be effective (ergonomic chair, multiple monitors, printer etc.). Second, keep your desk clean and organized. Arrange your space, play some music for work or put artwork on the wall. It will help you to be more positive, concentrated and prproductive.
Get enough sleep
Sleep deprivation negatively affects our concentration, memory, logic. Even if you had only one night of insufficient sleep, your productivity will decrease. Every person should sleep from seven to nine hours a night. If you don’t get that much, try to take a nap during the day.
